Manitoba Canola Growers Association is looking to fill the position of Administrative Assistant, who, under the direction of the Finance & Office Manager, will primarily be responsible to maintain the ACCESS database by entering reports and generating mailing lists, and/or edit various forms of correspondence. This position will manage and administer inbound and outbound mail.  The Administrative Assistant must possess the following:

  • ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times
  • ability to effectively communicate both verbally and in writing

Job Summary

The administrative assistant, under the direction of the Finance & Office Manager

The Administrative Assistant will primarily be responsible for data entry into ACCESS database as well as be responsible to maintain the database and generate reports.  This position will assist and administer inbound and outbound mail as well as prepare bank deposits and provide support to the Finance and Office Manager. This role will also act as support for various staff to develop and maintain various administrative reports as needed by the team. The Administrative Assistant must have the ability to adapt to new technology and be able to work within the team environment as needed and act tactfully and professionally at all times.

Job Duties

  • Perform data entry into ACCESS database
  • Provide administrative support to coworkers and management
  • Perform basic bookkeeping functions
  • Total, batch, enter, verify, and reconcile transactions such as accounts payable and receivable, purchase orders, cheques, invoices, cheque requisitions, and bank statements
  • Prepare, review, and/or edit various forms of correspondence such as letters, invoices and reports
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence
  • Answer telephone and electronic inquiries and relay telephone calls and messages
  • Assist in the compilation of data for various reports
  • Maintain a high level of confidentiality in all interactions
  • Organize, maintain, and coordinate office records and files
  • Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders

Job Requirements

  • Proficient in Microsoft Office programs (including Word, Excel, and ACCESS)
  • Quickbooks experience is an asset
  • Ability to type 60 words per minute
  • Ability to work individually as well as part of a team
  • Degree or diploma in administration, business, or a related field OR
  • Three years of experience in an administrative role
  • High flexibility with strong interpersonal skills that allow one to work effectively in a diverse environment
